Client Services Coordinator & Administrative Assistant
As the Client Service Coordinator & Administrative Assistant, your primary role would be to guarantee exceptional client service to our existing clients and streamline and oversee the intake process for all incoming leads, reporting directly to the firm’s Executive & Administrative Manager, and working alongside the firm’s team of Shareholder’s, Attorneys, Paralegals, Controller and Receptionist to continue systems in place and guarantee exceptional service to all existing clients and potential leads. Additional secondary roles would include support to the firm’s Controller on financial related activities, support to the firm’s Paralegal on legal assistant related tasks, and support to the Executive & Administrative Manager for administrative related assignments, all within the context of providing top notch care to our clients.
Primary Qualifications:
- Experience in a law firm setting
- Experience as a frontline, high-end client service professional and enjoy providing exceptional care to clients in the legal field
- Exceptional verbal and written communication internally and externally
- Adaptable, quick learner, self-starter and can self-manage but works well with multiple teams on multiple projects
- Proven ability to manage workflows for others to keep them on task and on target
- Thrives within systems, entering and running reports and data, and can create checklists and work processes where necessary
- Technology savvy (Our technology platforms include, Microsoft 365, Surface Pro/Laptops, Outlook, Excel, Word, Adobe, PowerPoint, Clio Grow & Clio Manage, QuickBooks, Westlaw, Zoom, and Social Media platforms including Facebook, LinkedIn and Instagram)
Responsibilities:
- Oversee potential client intake and engagement processes and ensure delivery of exceptional client service firmwide; this requires an understanding of the client’s needs, working with the proper team members and using the tools and technology in place to deliver upon the same. This is an extremely active, hands-on role that requires constant attention and ability to track and follow up on status of each matter, and work alongside various team members until completion of each respective task from initial intake, through the engagement process and or closure and exit of each prospect or engaged matter
- Work alongside Paralegal on active engaged client matters; understanding the current status of all matters, set tasks and have a plan for completion of each task; regularly reviewing the firm calendar to ensure attorneys are prepared for the week ahead, know who they’re meeting with and make sure they have what they need for each meeting; will include constant data entry and reporting using the firm’s CRM; scheduling meetings with clients, calendaring deadlines, preparing initial draft documents, PowerPoint presentations, mailings, etc.
- Work alongside Controller in recurring financial reports and activities for the firm related to billing, invoicing, collections, origination tracking and retainer intake and disbursement
- Work alongside Executive & Administrative Manager to provide administrative support in firm operations as needed, which may include office maintenance items, communications with vendors, event planning, social media posting, etc.
